1. Acceptance of Terms

These Terms govern your use of the BetaOffice platform provided by Generation Beta Digital Limited (registered in England & Wales). By accessing or using our services, you agree to be bound by these Terms. If you do not agree, please do not use the services.

2. Services

BetaOffice provides virtual office services including registered/virtual addresses, mail handling and scanning, a customer dashboard, and integrations with third parties (e.g., The Hoxton Mix Ltd, Stripe). Details of features and pricing appear on our website.

3. Billing, Trials & Activation

Subscriptions are billed via Stripe. A short verification period may apply while Know-Your-Customer (KYC) checks are completed. During this grace period, no payment is taken. Once KYC is successful, your subscription becomes ACTIVE, the first charge is taken, and your Stripe billing cycle begins.

The Billing Period is managed by Stripe (e.g., monthly or annual renewals). The Service Term is managed by BetaOffice/Hoxton Mix and begins at activation. Dates may differ slightly due to the KYC grace period. This does not reduce the service length you receive.

Taxes (e.g., VAT) will be added where applicable. You are responsible for keeping your payment method and billing details up to date in your account.

4. Plan Changes

Existing subscriptions cannot be converted between plans (e.g., Monthly → Annual). To change plan, cancel effective at the end of your current paid term and open a new subscription on the desired plan. A fresh KYC check may be required.

5. User Responsibilities

  • Provide accurate, lawful information and keep it current.
  • Maintain the confidentiality of your account credentials.
  • Use the services only for lawful purposes and in compliance with these Terms.

6. Acceptable Use

You must not use the services for illegal activities, fraud, deception, sending prohibited items, harassment, intellectual-property infringement, or activities that may harm systems or other users. We may remove or block content and suspend service where reasonably necessary to protect users or comply with law.

7. KYC & Verification

As an address service provider, we are legally required to verify identity and address for compliance with UK AML/KYC rules for Company Directors and any individual with ≥25% ownership/control. If we or our partners cannot complete verification, we may decline, suspend, or terminate service. Additional information may be requested.

8. Mail Handling & Forwarding

  • On-demand forwarding (UK): Physical mail is forwarded within the UK on request. Forwarding fees (including postage/handling) apply as displayed at checkout or in-app.
  • Digital scans first: We typically open and securely scan mail so you can decide whether forwarding is necessary. Most customers rarely need forwarding.
  • Unforwarded mail retention (30 days): Physical items are securely stored for up to 30 days from the date of receipt. After this period, they are permanently and confidentially shredded for privacy and data protection reasons. Once shredded, items cannot be forwarded or retrieved.
  • Name matching: We may only process mail addressed to the verified company/individual names on your account.
  • Prohibited items: We may refuse or return items we reasonably consider illegal, dangerous, perishable, or unsuitable for handling/forwarding.
  • Cut-off & delays: Operational cut-off times may apply. We are not responsible for carrier delays once an item is handed to a postal/courier service.
  • Liability: To the fullest extent permitted by law, our liability for loss/damage of physical items is limited to the forwarding fee paid for that item.

9. Cancellation

  • Pending cancellation: choosing “Cancel” schedules termination at the end of your current billing period. No further charges after that date.
  • Final charge: if your account becomes ACTIVE during a free trial, the first charge will occur at trial end. If you cancel, that charge remains due and service continues until the end of that paid period.
  • Service access: after cancellation, service remains active until the end of the Service Term tied to your final payment.
  • Resume: you may resume a pending-cancel subscription any time before the final charge date.
  • Mail after cancellation: Physical items received during your active Service Term may be held for up to 30 days from receipt and then securely shredded unless a forwarding request is placed and applicable forwarding fees are settled within that period.

10. Cooling-Off

Under UK consumer law, online purchases may normally be cancelled within 14 days (“cooling-off period”). During your 7-day verification period (trial), no payment is taken. You may cancel anytime before your account becomes ACTIVE by not completing identity verification (IDV).

Once verification is successfully completed and your account becomes ACTIVE, the service is considered fully delivered and the statutory 14-day cooling-off right no longer applies. The first payment will be taken at that point, and future cancellations only apply to the next billing period.

11. Third-Party Providers

We rely on trusted providers (e.g., Hoxton Mix for address services, Stripe for payments). Your use of their features may be subject to their terms. Where required, we will share only the minimum necessary data to deliver the services.

12. Limitation of Liability

To the fullest extent permitted by law, BetaOffice and Generation Beta Digital Limited will not be liable for indirect, incidental, special, consequential, or exemplary damages, loss of profits, data, or goodwill arising from your use of the services.

13. Suspension & Termination

We may suspend or terminate access (with notice where reasonable) if you breach these Terms, we cannot complete KYC, fees remain unpaid, or continuation would be unlawful or unsafe. Upon termination, your right to use the services ceases, except for features expressly surviving by their nature (e.g., payment obligations accrued).

14. Changes to these Terms

We may update these Terms to reflect legal, technical, or business changes. We will post updates here and adjust the “Last updated” date. Continued use after the effective date constitutes acceptance of the revised Terms.

15. Governing Law

These Terms are governed by the laws of England and Wales. Courts of England and Wales shall have exclusive jurisdiction, except where applicable law provides otherwise.
